Minutes for November 18th, 2009 Meeting: <br />

The following major issues were discussed: <br />

1. Funding update: Total funding (both University account and Sovereign account) currently stands at US$1,893.00.<br />
<br />
2. Regarding events, the Lawrence Committee will host a cookie and dessert contest on December 15th, 2009 at 8pm. Refreshments will be served. Prizes will be awarded to top 3 contestants.<br />
<br />
3. Christina gave the following update on the Housing policy meeting: <br />

The GSG Committee held a meeting on November 17th, 2009 to discuss future reduced availability of graduate housing. Items discussed include the redevelopment plans for Hibben Maggie and closing down of Butler Apartments Complex, possibly in 2012-2013. There are no major updates since Lawrence Committee's October Meeting.<br />
<br />
4. Olivia gave the following updates: <br />
<br />
a. A ramp is being built at the back of Lawrence Building 1 &ntilde; work is to be completed in the first week of December.<br />
<br />
b. The issue regarding size of mailboxes is currently being discussed with Facilities - a better mechanism for receipt of mail is under way.<br />
<br />
5. The Committee voted Yay=7, Nay=0 to hold the Committee Elections on December 10th, 2009 at 8:30pm. Residents seeking to run for the Lawrence Committee must verify eligibility and responsibilities for positions as Committee member. Please refer to the Lawrence Committee's Constitution at the Lawrence Apartments website to view the roles and responsibilities of each member position in the Lawrence Committee prior to candidacy. The Lawrence Committee President will send an email to residents regarding the election process and requesting participation of three volunteers to serve on the election committee. The election procedures are to be decided by the election committee. In the event that there are not three volunteers, the Lawrence elections will take place in January 2010.<br />

        <![CDATA[<p>The superintendent would like to make the following announcements.</p><ul><li>Please take your garbage out in a timely manner. If, in the process of taking out the garbage, you spill liquid in the hallway or stairwell, please clean it up. This is common courtesy--no one wants to smell your rotting garbage, and it's your responsibility to clean up after yourself.</li><li>Do not store any items (strollers, bicycles, boxes, etc) in the hallways or stairwells. It is against fire code and university policy. Items stored improperly will be tagged and removed. There is a charge to reclaim items that have been removed.</li><li>Use the bike racks, not trees or light poles, to lock up your bicycle. Bikes locked to objects other than the racks will be removed.</li></ul>]]>

<li>The Lawrence Committee account has received the $1,000 annual deposit from the Graduate School. There are $999 remaining in the Committee's Sovereign account. The                University's Housing Department will no longer provide funding to the Lawrence and Butler Committees. Committees may supplement funding for events by applying to the GSG         Events Board.

<li>Regarding events:
  <ol>
    <li>The next event to be hosted by the Committee will take place on October 28th, 2009 at 6pm in the Community Room of Building 14. Children are welcome to dress up for              Halloween, refreshments and doughnuts will be available.

    <li>A second event will take place on the evening of December 1st, 2009. Details will be discussed at the next Committee meeting.
  </ol>
</li>

<li>Regarding the upcoming Lawrence Committee Elections which will take place early in December - all positions are open to Lawrence residents (students and spouses). Please         refer to the Lawrence Committee's Consitution at www.princeton.edu/~lawrapts for details on eligibility and procedures for running for office.

<li>Tao inquired about the possibility of larger mail drop-off boxes. Olivia checked with Facilities who stated that they are looking into having either a larger drop box or larger mail boxes.

<li>Christina gave the following update from the Housing policy meeting: The University is looking into contracting a third party developper to renovate and financially manage       Hibben-Maggie, with the aim to keep rents as low as possible. This will not affect Lawrence Apartments directly but may have an impact on Housing availability in the future.

<li>Olivia gave the following update: the issue of a possible card swipe system for the laundry rooms is still being discussed with Matt Ferry. 

<li>Karin reminded the Lawrence Community that residents must contact Olivia Martel (omartel@princeton.edu) should they wish to reserve the Community rooms in Buildings 1 and 14     for any events.  

<li>Sevil proposed creating a Spouses' Group within the Lawrence Community for regular get togethers and events. The idea received a lot of support and Christina proposed to         create an OIT Listserv for spouses. 

<li>Sivan and Dan expressed concern over constant problems with laundry machines, which are repeatedly "out of order". The Committee reminded residents that they must fill out a     maintenance request to Housing and report the problems to Dave Young, the Lawrence Apartments' Superintendent.

<li>Serdar expressend concern over poor heating in Lawrence Buildings 2-7. It was recommended that residents continue to place work orders to address such issues.

<li>The next meeting will take place on 11/18/09 at 8:30PM in the community room at 1 Lawrence Drive.

        <![CDATA[<p>The university is planning to remove abandoned bicycles from the Lawrence racks during the week of October 23rd. To avoid having your bicycle removed, make sure to place a tag on it with your apartment number. Tags can be found in the laundry rooms.</p><p>All bicycles locked to unauthorized structures (trees, signposts, small children, etc) will be removed, regardless of whether they are tagged.</p><p>Questions should be directed to the university's customer service center at 609-258-8000 or service@princeton.edu. Graduate students should have received an email with more information around September 24th.</p>]]>

    <li>USD 999.00 was deposited in the Lawrence Committee Account by the Graduate School.&nbsp; Olivia is inquiring about whether we will additionally receive the typical yearly funds from Princeton Housing.&nbsp; Current balance of the Lawrence Account is USD 953.45.</li>
    <li>Two staplers have been purchased for each of the computer labs in the Lawrence Apartments Complex - one for Building 1 and another for Building 14. The staplers are labeled 'Property of Lawrence Apartments&rsquo;.</li>
    <li>With funds from the office of sustainability, Maja has purchased a new composter for the garden.</li>
    <li>Charles will be purchasing a hose and nozzle for community use to wash cars during the summer.&nbsp; Maja will be storing this hose in the garden shed during the winter months.</li>
    <li>Next Tuesday, 9/29 Olivia is hosting a Lawrence welcoming event 5:30- 7:30 outside, if weather is not permitting the event will be held in the common room of building 14.&nbsp; Hoagie Haven subs, chips, and drinks will be provided by Olivia.&nbsp; The Lawrence Committee will be attending and contributing desserts.&nbsp; Sevil will be purchasing the cookies.&nbsp; It was suggested that next year, the committee should give out an item such as a key chain, to residents with the website advertised.&nbsp; This would need to be planned in advance.</li>
    <li>Christina proposed that the committee organize a fall inspired, kid-friendly social event at the end of October.&nbsp; Event will be planned for Wednesday, October 28th at 6pm.</li>
    <li>A second community event will be planned in November.&nbsp; Ideas suggested were a wine and cheese, or pizza and beer social happy hour.&nbsp; We will discuss these options next meeting when the Lawrence Account balance for the school year is known and finilized.</li>
    <li>GSG update from Christina- Next housing meeting is scheduled for 10/19; Shuttle feedback to the GSG committee is welcome; Changes to the university printing policy are being discussed.</li>
    <li>Maja would like to purchase a lawn mower for the garden area.&nbsp; She will be researching this.&nbsp;&nbsp;</li>
    <li>It was also suggested by Maja that something be done to address people not promptly removing their laundry from the washers, such as a clock in the laundry facility.&nbsp; It was decided that a sign would be posted to remind people to be courteous.</li>
    <li>Resident Tao Yue requested that a larger mail drop-box be available for Lawrence 1.&nbsp; This will be looked in to by Olivia.</li>
    <li>Olivia update:
      <ul>
        <li>A new bike shed is still on the wish list but is not fiscally feasible at this time.&nbsp; Bike removal will be organized soon and this should help increase storage space in the shed.&nbsp; Any stolen bikes should be reported to public safety.
        <li>Saturday October 3rd is community staff day.&nbsp; Olivia asked for help from committee members in running a craft and operation gratitude table which will be open 12-3:30.&nbsp; Any time that could be volunteered would be appreciated, let Olivia know as soon as possible it you can help.
        <li>The Dean of the Graduate School will be hosting a dinner at his house, sign-up if you are interested in attending.
        <li>Maintenance request to install a ramp in the back of building is immediately in the works.
        <li>Card swipe system for the laundry room will cost up to 15,000 dollars.&nbsp; It is still being kept in consideration.
      </ul>
    </li>
    <li>Election for Lawrence Committee will be held in December.&nbsp; All positions are open.&nbsp; To run for president one year of experience on the committee is required.&nbsp; In order to be eligible to run a candidate must attend two meetings.&nbsp; Charles will email to announce requirements.</li>
    <li>Steven announced that the Lawrence email list has been refreshed to remove all non-residents, therefore spouses need to re-register.</li>
    <li>Old business of photographs being hung to decorate Lawrence Buildings was addressed.&nbsp; The opinion was voiced that it would be preferable to put this money towards other social events.&nbsp; A vote was taken by the committee to drop this item from the agenda.&nbsp; The vote was unanimous in favor of not hanging photos.</li>
    <li>The next meeting will take place on 10/21/09 at 8:30PM in the community room, 1 Lawrence Drive.</li>

        <![CDATA[<p>The shuttle schedule for the fall semester goes into effect tomorrow, September 17, 2009. During the day, Lawrence residents can take the Tiger Line to and from campus; in the evening, you can take one of the circulators, which run both clockwise and counterclockwise. The official shuttle schedules are on the <a href="http://www.princeton.edu/transportation/tigertransit.html">TigerTransit website</a>.</p><p>The various shuttle lines can be confusing, so your hard-working graduate Student Government has prepared a &quot;cheat sheet&quot; to help you determine what the fastest route to and from campus at a particular time of day is. You can find it <a target="_blank" href="http://www.princeton.edu/~gsg/2009/shuttle/guides/LawrenceShuttleGuide.pdf">here</a> (or in the &quot;Quick Links&quot; to the left).</p><p>The biweekly shopper shuttle to Route 1 shops will continue to operate as usual. If each one has an RSS feed, you can instead visit a single page that aggregates all of updates together. What used to be a cumbersome process of checking a dozen different websites can now be done in just a few minutes!</p>  <p>You don&rsquo;t need to install any special software to make use of RSS feeds. You can use Google&rsquo;s free <a href="http://reader.google.com">reader</a> to subscribe to feeds and check for updates. If you have a Mac, you can also use Safari or Mail.</p>]]>

(Usually it runs only on alternate Saturdays.)
